Booking a Driving Tour
To secure a place on a Tour, a deposit of £500 per person is required unless otherwise specified. By booking a Tour, you commit to paying the total Tour value in full. Confirmation of your booking will be sent via email. The remaining balance must be settled no later than 12 weeks before the Tour commences. If booking within 12 weeks of the start date, full payment is due immediately. Failure to pay the outstanding balance by the deadline may result in cancellation of your booking, with charges applied as outlined in the Cancellation Policy. Paying a deposit signifies acceptance of both the booking conditions and these terms and conditions.

Methods of Payment
Deposits and balances may be paid by credit or with debit card, or by electronic transfer (BACS or CHAPS). Please ensure that payments are made in sufficient time for funds to clear by the due date.

What’s Included
Unless specified otherwise in the Tour Itinerary, the Tour Fee includes: a 24/7 group tour guide, concierge check-in service, hotel accommodation with breakfast, access to the UPG App, secure parking, and hand-held radio loans. Depending on your package, it may also cover channel crossings and select dinners.

What’s Excluded
The following are examples of extras not included in the Tour Fee and are your responsibility:

Hotel: Bar bills, room service, personal orders, and spa treatments. All outstanding accounts must be settled before checking out.
Ferry crossings: If you miss a prearranged ferry or other third-party carriage, any additional costs incurred are your responsibility.
Other expenses: Costs related to breakdowns, alternative accommodation, meals not included in the package, taxis, fuel, tolls, fines, and extracurricular activities.
Age Requirement
Participants must be over 18 years of age or accompanied by a responsible adult.

Channel Crossings
It is your responsibility to arrive at the departure point in good time for your allocated crossing.

Loan Equipment
Loaned Equipment is assigned individually and must be cared for and kept secure. Participants are liable for the cost of any lost, stolen, or damaged items.

Changes to the Tour
Changes Made by You
If you wish to make minor amendments to your booking, UPG will endeavour to accommodate these requests where possible. If you find a replacement participant for your place, you may receive a full refund minus the deposit, provided payment from the replacement is received. All amendment requests must be notified as soon as possible; successful changes will incur an administration fee of £50 per person plus any direct additional costs. If proposed changes are considered more than minor, they may be treated as a cancellation, with the Cancellation Policy applied.

Changes Made by Us
Occasionally, amendments to your booking may be necessary due to circumstances beyond control, such as changes with third-party suppliers. Any changes, whether minor or major, will be communicated to you as soon as reasonably possible.

Cancellation Policy
Cancellation Made by You
If you need to cancel your booking, notification in writing is required as soon as possible. Cancellation Charges will apply.

Cancellation Charges are as follows:

Up to 12 weeks before Tour start: 100% of Tour deposit
8 – 12 weeks before Tour start: 30% of Tour Fee (including Tour deposit)
Less than 8 weeks before Tour start: 100% of Tour Fee (including Tour deposit).
Cancellation Made by Us
UPG reserves the right to cancel your Tour under any circumstances. Where possible, you will be offered an equivalent alternative Tour or the option to apply your Tour Fee to another Tour. If no alternative is available, you are entitled to a full refund of all monies paid. Cancellation due to reasons outlined in the “Termination made by us” or “Force Majeure” sections may result in no refund.

Termination Made by Us
We reserve the right to prohibit participation if illegal, inappropriate, or antisocial behaviour is identified. In such cases, no refund is given and we are not liable for any additional costs incurred by you as a result of termination.

Third Party Tours/Events
Tours run with third party support (e.g., car dealers or clubs) are managed solely by UPG and all terms and conditions apply. Withdrawal of third-party support does not affect the running of the Tour unless notified otherwise by UPG. If you withdraw due to third party withdrawal, standard Cancellation Charges will apply.

Force Majeure
Events outside the reasonable control of UPG or its suppliers (such as war, civil strife, terrorist activity, industrial disputes, natural disasters, government advice, adverse weather, or fire) are considered force majeure. In such circumstances, UPG cannot accept liability or offer compensation for non-performance or damages resulting from these events, unless specifically stated otherwise in these terms and conditions.

Legal Compliance
It is the participant’s responsibility to comply with all laws and regulations of the countries visited, including vehicle legality, insurance, and sobriety while driving. UPG is not responsible for refusal of passage, entry, or exit by authorities or for additional costs incurred as a result. All participants must hold a valid passport (with at least 6 months’ validity), driving licence, and appropriate motor insurance for driving abroad. UPG is not liable for loss or damage to vehicles or personal property.

Behaviour and Conduct
Participants must not compete or race with other guests and are responsible for their own behaviour. UPG cannot be held liable for illegal or antisocial behaviour, and participants will indemnify UPG against third-party claims resulting from breaches of laws or regulations.

Travel Delays
Delays before or during the Tour, regardless of cause (e.g., weather, technical issues, industrial disputes), are outside UPG’s control and no liability is accepted for related extra costs. No refunds are provided for unused services due to travel delays.

Third Party Carriage
Any transport provided by third parties (by air, sea, or rail) is subject to those parties’ terms and conditions, which UPG does not control.

Travel Insurance
Participants are responsible for arranging appropriate travel insurance for themselves, their passengers, luggage, and vehicles, including breakdown cover and repatriation. If insurance is not arranged, participants are liable for any associated costs and must indemnify UPG against such expenses.

Pricing
Tour Fees cover only the items listed in the Tour Itinerary; participants are responsible for any extras. Prices may change due to external factors, and additional costs may be passed on to participants.

Car Livery
There is no requirement to apply livery or number stickers to your car, and doing so may invalidate insurance. UPG reserves the right to request removal of inappropriate stickers.

Image Rights
By participating, you consent to being photographed or filmed and to the use of your name, image, and biographical material for promotional purposes. If you do not agree, you must inform UPG prior to the Tour. Participants may only make photographs and film for non-commercial purposes, except where otherwise agreed. The company is granted licence to use submitted material for its business purposes.

Complaints
Any complaints should be raised with a company representative immediately to allow for resolution. If unresolved, written complaints must be submitted within 14 days of the Tour’s conclusion.

Liability
Our Liability to You
UPG will provide agreed goods and services with reasonable skill and care. Except where specifically stated, liability for injuries, damages, or losses is limited to the cost of the Tour and only applies where UPG is negligent.

Third Party Liability
Services provided by third parties during the Tour are subject to those parties’ terms and conditions.

Your Liability
Participants are responsible for all additional costs, fines, penalties, damages, and expenses incurred during the Tour. If UPG is held accountable for such expenses, you will indemnify UPG and reimburse promptly. Participation is voluntary and involves risks, including accidents and injury, for which the participant accepts full responsibility and indemnifies UPG against any third-party claims.

Variations
Terms and conditions may be amended to reflect the nature or timing of specific Tours. Any such amendments will be communicated on the Tour Itinerary under “Special Conditions.”

Law
Ultimate Power Group Ltd (UPG) is a British company, governed by English law. All contracts are under the jurisdiction of the English courts.

Acceptance of Terms and Conditions
Booking a Tour confirms that you have read, understand, and accept these terms and conditions in full. If any part is unclear, you must seek clarification before paying your deposit. While UPG will endeavour to ensure all participants comply with these terms, it cannot guarantee compliance.
